Event Planning Resources

Are you a department or faculty on campus planning an event at UBC Okanagan? Below are some tips that may prove useful.

You may also download our event planning checklist.

Involving the Deputy Vice-Chancellor or President

If the event is a ceremonial event such as a Building Opening, Ground Breaking, or Building Dedication in which you hope to involve the DVC or President, please contact the Ceremonies Office.

We will evaluate your event and guide on the next steps in terms of securing the DVC or President’s time, and engaging key partners including University Relations, Government Relations and more.

If you do not require assistance with an event but would like the President to speak or participate, please visit the President’s Office website.

To request a speech by the DVC please use the DVC Participation Request Form.

Development & Alumni Engagement

If the event is a donor recognition event such as a dinner or luncheon, or an alumni event such as a reunion or celebration contact the Development and Alumni Engagement Office at 250.807.8565.

Even if you plan on executing the event within your own unit, they can provide a checklist and other useful resources.

Faculty or Departmental Event

If you are planning an event on campus and require guidance, below is some information you might find useful. Ceremonies and Protocol will provide event strategy guidance including the type and format of the event, programming, and number of speakers.

Our office will also provide advice on protocol in relation to speaking order, flags, forms of address, invitations to the Okanagan Nation Alliance, and any other issues that arise.
